[EN] UNIL Course capture guide Lecture recording and broadcasting at UNIL Introduction In September 2019, UNIL had set up a pilot project for the Bachelor 1 courses in Medicine which allowed to broadcast the courses live for the students who could not find a place in the Hamburger amphitheatre (the capacity of this room being exceeded due to the large number of enrolled students). In July 2020, the University of Lausanne equipped itself with lecture capture equipment for a first series of classrooms in order to respond to the challenges imposed by the health crisis and the obligation to offer courses in a co-modal form. This installation took place within a very short time frame and in a very critical size that required a lot of effort from the different services mobilized (Ci, Unicom, CSE, etc.). At present, the lecture capture system is still used in response to the constraints created by the health crisis, but a reflection is underway in order to give this course capture service a clear framework and a useful place in the future of our teaching. A consultation of the different actors will be launched in March 2022 in order to feed this reflection. Support and contact A dedicated helpdesk team is in charge of monitoring the live recordings and is at your disposal in case of problems. Microphone loan As part of your teaching, microphones are available for loan at the CSE for the duration of the Spring 2022 semester. Once the request is received, it is encoded on the recording server's calendar and will automatically start at the time chosen when the request was made. Once in the room, teachers just need to make sure they are using the microphones provided in the room so that the sound is properly broadcasted and then they can teach their class as they normally do. The signal of what is projected and the sound is sent to a recording box located in the control room. These boxes make a physical recording of the files and send a signal for the live broadcasts. The live broadcasts are however independent of the recordings, which means that if there is a problem with the live broadcast of your course, the recording will continue to work and the students will have access to a replay (if there is no technical problem in the room). At the end of the course, the files recorded in the box are sent and processed on the REC-UNIL server to the channel of your course. The processing of the files can take up to 24 hours due to the large number of files that the system has to manage. You have the possibility to edit your file by removing parts of the course or break via the "Trim" function available under "Edit". You can then manage the publication and access to your videos as described later in this guide.   Type A lecture capture The rooms below are equipped with "MIRIS - BOX" and a fixed camera with tracking of the teacher. His/her projected course materials. The sound of the room is also recovered. Any other support on request (please contact us one week before the course so that we can set up the Miris-Boxes beforehand with new inputs). In these rooms, the capture, recording and sending of the latter on the teachers' channel are automated via the management of an online calendar controlled by our Helpdesk team. The information needed for this management is requested by our helpdesk from each decanate and school management.  If you teach in this type of room, here is the modus operandi to follow: You connect your computer to the room's projector as usual. The recordings are set to start 5 minutes before the scheduled start time of your class. You stay 5 seconds at the same place to allow the camera to set its "auto-tracking" which will automatically follow your movements. The link to the live stream of your class is available from the Media-Server block in your Moodle course space. This link is protected via LTI access, which means that only students logged into your course have access to it. At the end of your course, the live stream will stop 5 minutes after the scheduled end time and your recorded lectures will be automatically processed before being uploaded to your personal channel and made available, pending validation of publication, as for the live stream, in the media server block of your Moodle course space. Once you have approved these recordings for publication on your channel, they are available for your students to annotate or post comments and questions. For students Here is a video you can share to your students to show them how to attend a Type A lesson capture (in French). Type B lecture capture The rooms below are equipped with an openboard with a multidirectional microphone and a box for broadcasting audio-visual streams (PowerPoint, a website, a PDF, etc...). It is possible, within the limits of our available stock, to consider adding a webcam to this system. (see equipment loan below) In these rooms, the capturing, recording and sending of the latter to the teachers' channel are also automated. If you teach in this type of room, here is the modus operandi to follow: Place your course materials on a USB stick and plug it into the room's openboard, which then broadcasts to the room's projector or plug your computer into the room's projection system Recordings are set to begin 5 minutes before the scheduled start time of your class. Your live stream will be automatically available in the Media-Server block of your Moodle course space for your students. This link is protected via LTI access, which means that only students logged into your course have access to it. At the end of your course, the live stream will stop 5 minutes after the scheduled end time and your recorded lectures will be processed automatically before being uploaded. Once you validate the publication of these recordings on your channel, they are available to your students who can annotate them or post comments and questions. The ZOOM application is also available on the openboards if you want to open a particular room for discussion. Zoom type lecture capture ZOOM type recordings can be organized from any classroom. This can be done in 4 ways:  1- From a Zoom room + (IDHEAP 003 - 004 et 005) or Extranef 125 These rooms are equipped with a set of equipment that captures the video of the speaker and all the sounds of the room via an audio "tile" located in the ceiling. If you teach in this type of room in Hy-Flex mode:  Here is the recommended modus operandi: Provide a ZOOM room and share the access link for students who are taking your course remotely in synchronous mode. Open this room at the beginning of your course and start recording it "locally" and not on the cloud. Use your computer's webcam for the video and connect a USB microphone, if you have one, to broadcast the sound in the ZOOM room. Connect your computer to the classroom projector and display the ZOOM room for all students. Deliver your course by sharing your materials via the ZOOM room ("share screen" function). At the end of the class, end the meeting and the video file of the recording is generated on your computer. Upload your video file to your personal channel on rec.unil.ch , it will then be available to your students via Moodle. Contact and booking: captation@unil.ch Configure your Moodle space and your Rec·Unil channel Creating a new subchannel for my lecture Create a new sub channel 1. You have the option of creating a sub-channel for each of the modules you teach. Once you are logged in to your REC·UNIL account, click on Add a sub channel . 2. Give your sub channel a title (for example, the name of the module) and click on Add this channel at the bottom. 3. The new sub channel is now displayed in your main channel. You can also link this sub channel to your Moodle space . Moving a media in a sub channel 1. To move a video to the sub-channel of your choice, find the video in your main channel, hover it with your cursos and click on " Edit" button that appears. 2. Then, in the Video Publishing Settings , go to the Parent Channel section and click Select Channel . Then select the relevant sub channel and save the changes. The video is now in the sub channel you selected. Video tutorial: Channel management Linking a lecture sub-channel to a Moodle course You can link a RecUNIL channel or sub-channel to your course on Moodle, so that students can watch videos from that channel directly via Moodle. These can be live videos as well as existing recordings uploaded to RecUNIL. In order to link an RecUNIL channel or sub-channel to a Moodle page, you will need to add a RecUNIL Videos block on Moodle. Copy the permanent link of the channel 1. Go to your RecUNIL space. Hover over the channel or sub-channel you want to share and click  Edit . 2. Under Settings , copy the permanent link of the channel. N.B. On Moodle, only the part between the last two slashes will be needed. Adding a RecUNIL video block to Moodle 3. Then go to your Moodle page and select your course. In the top right corner, activate the edit mode . 4. Click on Add a block just below. 5. In the pop-up window that appears, click on RecUNIL Videos at the bottom. 6. A new RecUNIL Video block has been created in the right-hand column. On this block, click on the small wheel and then on Configure RecUNIL Block. 7. In the Configuration window that just appeared, you can now rename your block . Next to the RecUNIL channel IDs, paste the link you copied to your RecUNIL channel. Keep only the part of the link between the last two slashes. 8. Finally, click on Save . The videos of your RecUNIL channel or sub-channel are now integrated to your block and can be viewed by students. Video tutorial: Creating an RecUNIL block on Moodle How to request a lecture broadcast (live or pre-recorded) Lecture Capture Management for the autumn 2022 semester As the fall 2022 semester begins under normal conditions, the broadcasting of live and pre-recorded classes is regarded as a pedagogical tool, and as such it is available to UNIL faculty.  We encourage you to consult your faculty's or school's official guidelines if you wish to request a live or recorded broadcast of your course for this semester. Once a broadcasting request has been submitted, it will be processed in one of three ways: Centralised processing of requests by your faculty or school Processing of individual requests via MyUnil Processing of individual requests via an online form Please also note that the publication of recordings is now set to "Unpublished" by default. You can manage the distribution of your recordings yourself by following the advice and information available here: https://wiki.unil.ch/cse/books/guide-pour-lenregistrement-et-la-diffusion-des-cours-unil/chapter/gerer-ses-medias-sur-recunil   Option 1: Centralized request made by the Dean's office or the school management If the Dean's Office of your faculty has chosen this option, here is the process what happens: The faculty receives a file containing all the requests to reserve classrooms for teaching. This file corresponds to the requests encoded on the AIGS system for the reservation of classrooms. The faculty completes the file for each course, indicating whether it wishes to have a recording and/or a live broadcast. They send the file to captation@unil.ch by Tuesday, August 29, 2022. The service helpdesk contacts each teacher and asks them to complete the necessary information via a form. A confirmation is sent to each teacher regarding the recording of his or her classes. A general confirmation for all the requests is sent to the dean's office of the faculty or to the director of the school that submitted the request. For the Schools of Medicine and Biology, the procedure for the autumn semester is identical to that followed in the spring semester 2022. Option 2: Requesting a lecture capture from the course list on MyUNIL For faculties that have chosen to let teachers decide whether to broadcast their courses live or from a recording, requests for live or recorded broadcasts of courses can be made through MyUnil. Below are the steps to follow in order to set up this service: https://wiki.unil.ch/cse/link/206#bkmrk-cr%C3%A9er-un-bloc-ubicas   Create a RecUNIL block on your Moodle page to display videos from your Rec·Unil channel directly on your Moodle page. 2. Link the Moodle page of the course with MyUnil by creating an enrollment procedure via MyUnil 3. Make a request for video capture via MyUnil Should you require assistance, you can contact us at captation@unil.ch 1. Creating a RecUNIL block and associating it with a Rec·Unil channel Creating a RecUNIL block on your Moodle page allows students to access all the videos on your Rec·Unil channel (e.g. recordings of your classes) from the course's Moodle page. This is required in order to request a course recording via MyUnil and to link a particular Rec·Unil channel with your course. You can, if you wish, create a sub-channel specifically for your course and link it to the Mediaserver block. To create and add a RecUNIL block linked to a Rec·Unil channel to your Moodle page, follow the instructions on this page. If you do not wish to make your Rec·Unil channel and the videos it contains available to students , you can activate edit mode and hide the block by clicking on "hide block name nomdubloc " (FR "cacher le bloc nomdubloc ") in the block menu. 2. Making a request for video capture via MyUnil This step is only possible if the teacher officially responsible for the course in MyUnil has been added to course participants on Moodle. This step will link the Moodle page to the course in MyUnil. Students enrolled in the course in MyUnil will then be able to access the Moodle page by clicking on the corresponding link in the course on MyUnil. 1. On your course's Moodle page, start by going to the " Participants " page. 2. Next, open the " Enrollment options " (" Méthodes d'inscription ") by clicking on the cog symbol to the right of the "Participants" tab. 3. The MyUnil registration method exists by default, but is not set up. Click on the pencil icon to the right of the " Link from MyUnil " (" Lien depuis MyUnil ") to configure it. If the "Link from MyUnil" registration method is not visible in the list, select "Link from MyUnil" ("Lien depuis MyUnil") from the drop-down menu at the bottom of the page, to the right of "Add method" ("Ajouter méthode"), and follow the steps below. 4. In the "ENSid" section, select the course that corresponds to the one on the Moodle page and for which you want to request a recording. You can also enable automatic Moodle page registration for anyone accessing the course from the course page on MyUnil, and select the status which they will be given by default (the "student" status is recommended). If the course for which you wish to request the capture does not appear to the right of the "ENSid" section, it is because the official course teacher in MyUnil is not listed as a course participant on Moodle. In that case, please add them to the list of users first. 5. Confirm the modification of the parameters by clicking on " Save " (" Enregistrer "). The registration method via MyUnil has now been set up and is available to your students, allowing them to find the course Moodle page via MyUnil and enroll in it. This allows you, as the teacher, to go into MyUnil to request a recording of your course . 3. Make a recording request via MyUnil We encourage you to request a broadcast of the first course of your teaching only. Once this request is sent, you will receive a message asking you to specify your course schedule.  Finally, to request a course capture from MyUnil, go to  MyUnil . Log in to your personal space and access your course list. Select the relevant course from the course list on the left of the page. A course for which a MyUnil enrollment method has been set up on Moodle is marked with a small Moodle icon with a graduate hat. At the bottom of the page, you will see that the link to Moodle is now displayed in the "Moodle" section. 2. To request a recording, go to the " Sessions " section which lists the sessions of the course. What's more, if a session is scheduled for a room equipped for REC capture, it is possible to click on the " Add " button to request a recording. 3. Choose the desired settings for your recording. Define the channel you would like to use to broadcast your videos and upload them (the channel used when creating a RecUNIL block on the Moodle page). Check the "Live streaming" option if you would like to broadcast your course live . Confirm. 4. After validation, the "Add" button turns into a green icon . The recording request has been successfully registered. 5. You will receive a confirmation e-mail , containing all the details of the scheduled recording. Recording is now scheduled for your course on the dates and in the classroom indicated . Option 3: Course capture request via a form HEC and SSP teachers, or teachers who have encountered difficulties, can submit their request via a form which will be processed by our helpdesk. You can access the form here: https://cse.unil.ch/captens/envoi/ The procedure:  The teacher completes the form The request is processed by the CSE helpdesk within two working days The teacher receives a confirmation e-mail The course is added to the broadacst list on MyUnil Managing media on Rec·Unil Connecting to Rec·Unil We recommend that you use Firefox or Google Chrome  to access the Rec·Unil service. To connect to the Rec·Unil Media Server, go to https://rec.unil.ch/ and click on the "Sign in" button at the top right of the page. Enter your Unil login and validate. You are now connected to your personal account on Media Server Rec·Unil . Video resource The video below outlines the procedure in images (in French): Managing and setting up your channel(s) Accessing your channel settings To manage and set up your channels, after logging in, click on your name at the top right of the Rec·Unil page, then click on " My channel ". The " Edit " button allows you to access the settings page of your personal channel. The modifiable parameters are detailed below. Accessing subchannel settings To access the parameters of a sub-channel, access your main channel as described above, then hover over your sub-channel with your cursor. The " Edit " button will appear. Click on it. The parameters page of a subchannel is automatically displayed when the subchannel is first created. Available settings In the edit page of your channel/subchannel, you can navigate between 6 different settings tabs. The Settings tab allows you to: Find the different links to access your channel. Modify the Metadata of your channel (Title, Description, Language, Sorting) Modify the Advanced Settings (Show View Counter, Show RSS Links, Storage Quota, External Reference, External Data) Check the LTI Links The Preview image tab allows you to: Check the current image preview Create a thumbnail (= preview image) from the thumbnail of a video Change the preview image of your channel by importing an image of your choice It is recommended to use an image in JPEG format of 240 px width and 135 px height. The Default Settings tab allows you to: Change the default publishing settings for channels (Listing at the time of creation, Authenticated and non-authenticated user access at the time of creation) Change the default publishing settings for on-demand videos (Automatic publishing, Status upon relocation, Listing at the time of creation, Authenticated and non-authenticated user access at the time of creation) Change the default publishing settings for live broadcasts (Auto-publish, Status upon relocation, Listing at the time of creation, Authenticated and non-authenticated user access at the time of creation) Change publishing defaults for sets of photos  (Auto-publish, Status upon relocation, Listing at the time of creation, Authenticated and non-authenticated user access at the time of creation) Allow integration via LTI Change notification settings (Email addresses to notify when new media is added, Email addresses to notify when new memos are added) Change storage settings (Storage alert threshold, Email addresses of the channel managers) The Player Settings tab allows you to: Edit the Dynamic Rich Media Options : Define and set the player logo Change the player background Enable and set transition animations Define the duration of slide display on autopilot Enable user control Modify Rich Media Classic Options (Video Ratio, Slide Ratio, First Source Ratio) Change the Start and End credits Set the Side Panel (Side Panel Width, Default Open Tab, Hidden Tabs, Disabled Annotation Types, Hide Side Panel Completely, Show Side Panel) The Permissions tab allows you to: Change the permissions of the user categories below on the channel or on the channel's media. User categories: Available authorizations Non-authenticated users Authenticated users LDAP Users Local Users Access Add Edit Publish Statistics Moderate Subtitles Delete You can also grant direct permissions to specific users (for example, your course assistant). The Statistics tab allows you to: View the statistics of your channel and statistics of the media in your channel. Don't forget to save your changes with the green "Save Changes" button at the bottom right of the page. Video Resource The video below shows how to access the settings and manage your channel(s) (in French). Manage access to your videos Their are two ways of managing access to your videos:  Modify the access permissions to the sub-channel. To do this, go to the channel/subchannel editing page , then manage permissions in the Permission tab. See the page Manage and set up you channel(s) for more details. Edit the access permissions for each video. See below: Go to the video editing page Start by accessing the channel where your video is located (see this page if necessary), then hover over the video with your cursor. The " Edit " button will appear, click on it. The video settings editing page is automatically displayed when importing or creating a video. Editing permissions Once on the video parameters edition page, you will need to go to the " Permissions " tab. However, since this page contains many tabs, the Permissions tab is not always visible. To access it, click on the arrow to the right of the tabs list. Then click on the Permissions tab. You are now on the video permissions editing page. Once on this page, you can set  permissions regarding videos ( Access, Edit, Publish, Statistics, Moderate, Subtitles, Delete ) for each user group and for individual users . Don't forget to save the changes by clicking on the " Save Changes " button at the bottom right of the page. Manage the publication of your videos Manage the publication status of a video You have the option to unpublish a specific video on your channel, so that it is not visible to other users, for example if you wish to edit it. You can also choose to make the video available during a specified time period. 1. Once you are logged into your REC·Unil channel, scroll down to the video you are interested in and hover your mouse over it. Then click on Edit . 2. In the Publishing settings section, you can uncheck the Published option to unpublish the video (or check it if you want to publish your video again). If, however, you want your video to be available during a specified time period, you can set the dates under Automatically publish on [insert date] and Automatically unpublish on [insert date] . Once you have set the parameters, make sure to click on Save Changes at the bottom of the screen. Change the default video publication parameters for a given channel By default, the videos you add to your RecUNIL channel are automatically published (and accessible via Moodle, if the channel is linked to a Moodle page ). If you want to change these default settings, follow the steps below. Once you are logged into your REC·Unil channel, click on Edit in the menu at the top of the screen. 2. At the top of the page, select Default settings . 3. In the Default publishing settings for on-demand videos section, open the drop-down menu next to Automatic publishing . Select No if you do not want your videos to be automatically published by default. Make sure you click Save changes at the bottom of the screen. Editing your videos Cutting sequences in a video to create a new video It is possible to edit/cut a video in RecUNIL. To do so, go to the video editing page (to know how to access the video editing page, see this page).  Click on the " Trim " tab. To trim the video, you need to select the pieces of the video which you wish to keep. To do this, place the cursor on the video scroll bar at the beginning of a sequence you want to keep (1) , then click on " Start a new segment here " (2) . A new video segment is selected (3) . Move the cursor to the end of the sequence (4) you want to keep and click " Stop segment here " (5) . A segment of the video is thus cut out and kept (6) . You can repeat the operation of selecting a segment as often as necessary. To see the final result of the cut, click on " Preview ". The preview starts in the player. To validate the cut and create a new video with the cut sequences, click on " Create a new video ". Give the new video a name and click on " Create a new video ". After processing the video, the new version of the video is displayed. You can change its parameters and publish it by clicking the " Edit " button at the top right of the page. Video resource (in French) Send a request for the editing (trimming) of your videos to the helpdesk You can ask for your videos to be edited by our helpdesk.  To do so, please send an email to captation@unil.ch with the following information: The title of your course The date of the recording The link to the video on your channel The pieces of video that you would like us to remove, specifying for each one: The start time The end time This information is visible at the bottom of the player. We can also train one of your team members to perform this task. Please note that it may take up to 3 business days for the edited version of the video to be available on your channel. Editing only takes a few minutes before a new encoding of your edited video is launched, but the delay depends on the number of requests we receive and the encoding load of the servers. Things to know once you are in the classroom Once you enter one of the rooms equipped with a course recording system, you don't have to do anything special and you can teach as usual. The material which you display on the screen from the document camera, from your computer or from the openboard will be picked up. Microphones However, it is essential that you use the microphones available in the classroom since the sound is captured by the classroom's sound diffusion system. The rooms are not equipped with "ambient" microphones. You can access the microphones from the cabinets that can be opened with a 14.0 key (more information here: https://www.unil.ch/unicom/fr/home/menuinst/prestations/materiel-av-disponible.html ). Camera The camera in your room is equipped with a tracking system that is automatically calibrated to your face. If the tracking does not follow you, return to the lectern and face the audience and the tracking should resume normally. There is no sound on my live stream. What should I do? My live stream has stopped. What should I do? How do I know who has access to my videos? How do I open the AV equipment cabinet? How do I get the key 14.0? In some rooms, microphones and other audiovisual equipment are stored in a multimedia cabinet located under the lectern. This cabinet can be opened with the audiovisual means key (also called key 14.0 ). You can borrow a key 14.0 from the   Unicom reception  (Amphimax building). My live stream has no sound. What should I do? Make sure you are equipped with a microphone and that it is turned on . In rooms with fixed microphones (e.g. Geopolis), make sure you stay behind the lectern and do not move around in the room . Some microphones have a low volume by default . Also, it is sometimes necessary for spectators to turn up the video and/or computer volume to high levels to hear the video. My live stream has been interrupted. What should I do? If the live stream is interrupted, please contact the Captation helpdesk at +41 21 692 63 18 or captation@unil.ch during class hours . If the live broadcast of your course is interrupted due to network problems, the video recording of your course is maintained . The recording is available within 24 hours and will appear in your REC·UNIL channel . You will then be able to send the link to your students if necessary. How do I know who has access to my videos? To find out who has access to your videos, you need to look at the permissions for the channel where your video is located. Follow the instructions on this page   to find out how to access the permissions of a channel. You can also set permissions for each video individually . Follow the instructions on this page  to find out how to change the permissions of your videos. If your channel (or sub-channel) is linked to a Moodle course, everyone enrolled in the Moodle course will also have access to the videos in your channel. How do I enable an assistant to manage my channel ? You can allow one or more people , for example a course assistant, to manage and edit a Rec·Unil channel . You can also change the permissions that have been given to a user in the past. How to give a user the right to manage a Rec·Unil channel Start by going to the edit page of your chain or sub-chain (if necessary, see this page for more information on how to access a chain/sub-chain edit page). Now open the " Permissions " tab. At the bottom of the page, in the "Users with direct permissions" section, click on " Add permissions to users ". In the pop-up window, enter the last name or the short identifier (initial of first name + last name) of the person you want to add as a channel manager, then click on the magnifying glass button to validate the search. When the person in question is displayed, click on the "+" button to the right of their name line. You can repeat the operation to add other individuals with the same rights (search for the individual in the search bar, then add him/her to the list with the "+" button). When the short ID(s) of the selected users have appeared at the bottom of the window, click on the " Give custom permissions" button .  You can now choose the permissions you want to give to anyone managing the channel. You can differentiate between permissions for the channel and for the media (videos) posted on the channel. We recommend that you do not give "Delete" rights to the channel or any of its content being accidentally removed. The " Untouched " option means that the permission is not modified and corresponds to the default permissions of the channel or video. The " Yes " option means that the manager has the permission and conversely, the " No " option means that the manager does not have the permission. Don't forget to " Save changes ". The users you selected now have the permissions you assigned to them. Change user permissions You can now check the permissions of users in the "permissions" tab and change them by clicking on the button with the key icon on the right. How do I make my video unavailable to my students? To make a video unavailable to your students, you can change the status of the video to "unpublished" . To find out how to do this, follow the instructions on this page . How do I set up the publication of my recordings? You can manage the automatic publication of your recordings in the settings of your channel or sub-channel, in the tab "Default settings". For more details on the procedure, follow the instructions in the second part of this page . How do I download a video to my computer? You can download the videos available on your channel. To do so, first go to the channel where your video is located, then access the video editing pages as shown in the screenshot below. Then access the " Community " tab. The download link is available in the " Download " section, below the "Share" section. The download link does not appear If the download link does not appear in the section indicated, go to the " Resources " tab. Then in the " Resources (1) " section at the bottom of the page, activate the " Downloadable " setting as shown in the screenshot below. You can now go back to the Community tab . The download link should now be available.
