Have you just started working at the FBM? Here is an overview of the management IT at the faculty and the services available at UNIL.

For Unil departments based on the CHUV and Épalinges sites, IT support is provided by the FBM IT Service (Si), which brings together local IT managers for user support and three specialists in charge of IT infrastructure, applications and projects.

 

The FBM IT Service draws on the existing resources of the Unil IT Centre (Ci).

FBM IT Charter

For departments whose IT is managed by the FBM IT Service, the terms and conditions for using the IT infrastructure are set out in the FBM IT Charter.

 

This charter is based on the UNIL internal Directives, specifically Chapter 6. IT.

If you have any questions or IT issues, please contact FBM Support from Monday to Friday, from 8.00 am to 5.00 pm, by telephone (+41 21 692 50 94 – main number) or by email (supportfbm@unil.ch).

 

FBM IT Support can also provide remote assistance with your computer using the VNC Instant Support application.

IT access and authentication

To access services at Unil, you need two separate accounts.

When you first start working at UNIL, you must activate your IT access and link your two accounts. To secure your UNIL IT account, you must set up two-factor authentication. FBM IT Support can assist you with these procedures.

Data management

The UNIL Central IT service (Ci) provides two separate servers: one for administrative data and a second for research data. These servers are backed up daily and can be accessed through the UNIL network or VPN. The Ci also provides a range of services for research (virtual machines, computing servers) as well as a backup system for work computers.

 

At UNIL, cloud data storage is available via Microsoft OneDrive, but is subject to conditions.

Email and calendar

You can access your emails and calendars via a web browser using Outlook Online. For a more user-friendly experience, you can set up your email account in Microsoft Outlook. Upon request, shared mailbox can be created for administrative units and secretariats.

 

If you wish to reach a specific group of users (e.g. all users in a department, a research group, etc.), you can send your message to the relevant distribution list.

Wifi network

When you are at UNIL, you can access internet and all UNIL services via the Eduroam network. Eduroam provides an encrypted connection and can be set up automatically on any type of device using the configuration assistant tool eduroamCAT.

Working from outside

You can work remotely as if you were at UNIL thanks to UNIL’s VPN (Virtual Private Network) (crypto.unil.ch). This secure access allows you to connect to all FBM and UNIL resources (applications, servers, etc.). You can set up VPN access on any type of device (computer, phone, tablet, etc.) using the Ivanti Secure Access app.

Software

Standard office software (Microsoft Office, Adobe Acrobat) is installed by default on all FBM computers. The full list of software available at UNIL (EndNote, Overleaf, SnapGene, MATLAB, FileMaker, etc.) is published on the Ci website. The FBM IT Service also provides access to other specialist app:

  • GraphPad Prism (statistics)
  • BioRender (online icon library)
  • LimeSurvey (surveys, event organisation, etc.)

Imprimantes

Each department manages its own printers and consumables. The central printing service, known as PrintUNIL, has been rolled out across most departments. On Windows, you can install printers with a single click using the FBM Utility. On Mac, you can get help through the FBM IT Support to install new printers.

FBM applications

The FBM IT Service has developed specific apps for the Faculty.

 

The FBM Booking Calendar allows you to book rooms and shared resources (scientific equipment, animal facility equipment, etc.) within your Department.

 

If you need to borrow equipment for a specific event (conference, meeting, etc.), you can find the equipment available for loan in your department in the FBM loan catalog.

 

For research purposes, scientific equipment is listed by department in the instrument inventory app (service currently being implemented).

Purchase and management of IT equipment

All professional IT purchases must be approved by the FBM IT Service. Please submit your soft and hardware purchase requests, including those for computers linked to scientific instruments, to FBM IT Support.

 

For personal purchases, discounts are available to UNIL staff. A compilation of offers for private IT purchases is published on the UNIL Central IT service (Ci)'s blog.


In the exceptional case where you do not have access to a computer provided by UNIL, it is possible to request the use of your private computer. This option is subject to conditions. If you are interested, please submit your request to FBM IT Support.

Videoconferencing
1videoconference.png For teamwork and video conferences, Microsoft Teams – a service included in Office 365 – offers a range of collaboration features: audio or video calls, whether in a group or one-to-one, instant messaging, and screen and document sharing.
